Frontier Lodge Christian Youth Camp “Frontier Lodge” is committed to protecting the privacy of its families, donors, volunteers, employees, directors, officers and any other persons about or from whom Frontier Lodge collects personal information. Our goal is to treat the personal information you share with us, with the utmost respect, and in accordance with this Privacy Policy.
Defining Personal Information
As defined by the Quebec Government, personal information is any information which relates to a person and allows that person to be identified. Personal information can be collected in many forms including, but is not limited to, written and computerized information, images, videos. (Légis Quebec, chapter P-39.1)
Accountability
Frontier Lodge is responsible for maintaining and protecting the personal information under its control. Frontier Lodge has appointed a Privacy Officer who is responsible to ensure that Frontier Lodge complies with its privacy obligations in accordance with applicable privacy laws.
Information regarding Frontier Lodge’s Privacy Policy, as well as the personal information management, shall be available as requested. The information will include:
- Name and contact information of the Privacy Officer
- Who has access to personal information held by Frontier Lodge
- A copy of any brochures or other information that explains Frontier Lodge’s policies, standards or codes
Consent
Frontier Lodge will obtain consent from the person whose personal information is collected, used and disclosed, unless obtaining the consent would be inappropriate or not required by law. Sometimes the person’s consent may be implied by virtue of their involvement with Frontier Lodge.
When it is appropriate, Frontier Lodge will obtain written consent that will be kept on file for as long as the information is reasonably necessary. A person may withdraw his or her consent at any time, subject to legal or contractual restrictions and reasonable notice. The person will be informed of reasonably foreseeable implications of the withdrawal.
Collection of Personal Information
Information collected by Frontier Lodge will be limited to that required for the purpose or purposes identified by Frontier Lodge. Frontier Lodge is committed to collecting personal information in a fair, open and lawful manner.
How we collect information
You directly provide Frontier Lodge with most of the data we collect. We collect and process data when you:
- make an account with our registration website;
- register for a Frontier Lodge session or event;
- attend a Frontier Lodge session or event;
- sign up to receive email and mail updates;
- donate to Frontier Lodge.
How we use information
Frontier Lodge collects and stores personal information for various purposes including, but not limited to:
- providing services;
- establishing and maintaining participant lists;
- marketing and fundraising;
- sending updates by mail and email;
- establishing and maintaining donor lists;
- issuing receipts for income tax purposes;
- contacting participants for follow-up purposes;
- managing employee payroll.
Frontier Lodge will identify and explain the purposes why we collect personal information, to the person from whom the personal information is being collected, before or at the time the information is collected.
Limiting Use, Disclosure, and Retention
Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the person or as required by law. Frontier Lodge will under no circumstance rent, trade, or sell personal information to other organizations. All collected personal information shall be destroyed, erased or made anonymous when the purpose for which it was collected is no longer relevant, or as permitted by the law.
Accuracy
Personal information shall be maintained in as accurate, complete and up-to-date a form as necessary in order to fulfill the purposes for which it was collected. Please contact us to update your information if a change has been made to the information you provided (ie. Email, phone, address, etc.), or if you would like to request that we delete information we have collected.
Access to Personal Information
Access to personal information will be granted, where Frontier Lodge is legally required to release the information and provided that the disclosure does not violate any applicable statutes or contracts, to the person to whom the information pertains where there is an appropriate written request. The existence, use and disclosure of the personal information will be granted within a reasonable period of time. Any inaccuracy or incompleteness of personal information will be amended as required.
Personal Information Safeguards
All personal information stored by Frontier Lodge is protected by security safeguards that are appropriate to the sensitivity of the personal information. This safeguarding could include physical measures such as locked filing cabinets and premises security, organizational measures such as restricted access to files with personal information, or technological measures such as security software, as well as encryption and authentication tools to protect personal data.
Payment Processing Safeguards
Frontier Lodge processes online payments through payment processors (iATS and Bambora) that are certified at Level 1 PCI Compliance, which is the highest possible level for data security standards. These payment processors help us to prevent fraudulent purchases and keep your information secure.
Frontier Lodge uses an online customer relationship management software (Sumac by Silent Partner) for communication and fundraising purposes. All Frontier Lodge’s data stored by our software is certified at Level 1 PCI Compliance.
Frontier Lodge does not store credit card information. To ensure the security of each participant’s personal information, all payments must be processed through our online web forms which are PCI compliant. Preferably, individuals will enter this information on their own, otherwise, transactions must be processed with an approved office administrator either in person or by phone (819-844-2277) during which the administrator will enter the information directly into the web form on the individual’s behalf.
Updating our Privacy Policy
Frontier Lodge will regularly review and update this Privacy Policy. When modifications are made or supplemental information is added to our Privacy Policy, we will update this page to include such changes and post a notice on our homepage with a link to the updated Privacy Policy. Frontier Lodge will obtain consent before using personal information for purposes other than those you to which you previously agreed.

Frontier Lodge’s website may contain links to other websites. While we try to only link sites to organizations that share our standards and respect for privacy, please understand that we are not responsible for the content on those websites and we recommend you familiarize yourself with their privacy policy.
Concerns about our Privacy Policy compliance
Questions, concerns, or complaints about the Frontier Lodge’s compliance with this Privacy Policy should be directed to our Privacy Officer. The Privacy Officer will investigate complaints and ensure that appropriate measures are taken.
